Office Assistant

The Office Assistant position coordinates office support services for multiple supervisors and office personnel. The ideal candidate will serves as primary back up for collections, rental accounts, and accounts receivable. This person will perform clerical, secretarial and administrative work in answering telephones, receiving visitors, providing excellent customer assistance, data processing and record keeping.

- Performs office/clerical duties for management as well as office personnel
- Filing as well as duplicate and distribute materials
- Composes types and edits correspondence, reports, and other material
- Data Input and entering rental contracts
- Word processing
- Proficient in Microsoft Word, and Excel with an ability to create spreadsheets
- Sort and distribute inter-office correspondence
- General knowledge of operating office machines as well as maintain copier and serve as point of contact for repairs and toner
- Receives the public as well as assist in answering phones
- Serves as back up for receptionist
- Serves as point person for exploration camps/classes
- Manage purchasing of office supplies
- Weekly management of vending machines which requires re-stocking and purchasing items to place in machines
- Make travel arrangements when required
- Coordinate meeting and event arrangements
- Preparation of reports and financial data
- Strong computer skills
- Scanning documents into system
- Lead the donation committee
- Manage cash boxes/petty cash
- Backup for Accounts Payable when necessary
Work Environment
- This job operates in a professional open office environment with no cubicles or barriers. This role routinely uses standard office equipment such as computers, phones, and printers/scanners.
- At least 3-5 years experience in a general office environment
- Knowledge of relevant accounting software/databases (knowledge of AIMsi a plus)
- Verbal communication skills
- Associates degree preferred. Education and experience may substitute for overall qualifications

- This position is predominantly sedentary. However, it requires routine use of office equipment fax, copy, and scan. While performing the essential functions of this position, the employee is regularly required to sit, point, type and maneuver promotional items. The employee must also frequently lift and / or move items over 20 pounds. The working condition can be loud; due to consistent demonstrating of musical instruments and pro- audio equipment.
